Adaptive Learning for Schools: Personalized Paths and Dashboards That Flag Who Needs Help
Personalized learning paths, adaptive assessments and educator dashboards, piloted with selected classes at a private school before a wider rollout.
StarLearn
A growing training institute replaced spreadsheets, a separate accounting package and a busy WhatsApp number with one platform. StarBot now answers admissions and parent inquiries day and night, and StarBiz runs fees, payroll and procurement in the same ledger.

The institute had grown from a few courses into several programs, from professional certificates for adults to after-school classes that parents book for their children. Inquiries arrived through the website form, phone calls and a WhatsApp number that a coordinator answered on a personal phone. Parents and learners asked the same questions about schedules, fees, documents and start dates, and messages sent in the evening waited until the next working day.
Behind the front office, the numbers lived in different places. Admissions kept a spreadsheet of applicants, the accounts team raised fee invoices in a separate accounting package and matched payments by hand, and payroll for trainers and administrative staff was calculated in another spreadsheet before being keyed into the books. Purchases of course materials and equipment were approved by email. When the owners asked which programs were growing and which were costing more than they earned, the answer depended on a manual reconciliation.
Discovery started with the questions people actually ask. The admissions team shared their WhatsApp history and website form submissions, and we grouped them into intents: program details, schedules, fees, document checklists, application status and directions. In parallel, starting from our template for education providers, we mapped the finance processes end to end: from inquiry to enrollment, fee invoice, payment and refund, from attendance and leave to payslip, and from purchase request to vendor bill.
The fit-gap showed that StarBiz covered fees, payroll and procurement through configuration, and that the real work lay in the data. The applicant spreadsheet, the customer list in the old package and the payroll sheets did not agree with each other, so we cleaned and merged them, mapped each program to a cost center and loaded opening balances that the accountant reconciled before go-live.
The plan ran in phases. StarBot went live first on the website widget as a pilot, with the admissions team reviewing transcripts, and then on WhatsApp. Finance and fee invoicing followed, with a parallel run against the old package until the totals agreed. Payroll was tested on a copy against the previous payroll sheets before the first live run, and procurement came last. Each team received role-based training on its own workflows, and the owners had a walkthrough of their new dashboards.
StarBot answers on the institute's website and WhatsApp in Arabic and English, from a knowledge base the admissions team maintains. It explains programs, schedules, fees and document checklists, asks qualification questions that adapt to the answers, and books placement tests and campus visits with calendar checks. New leads arrive in the StarBiz CRM with the details captured in the chat, and the admissions team moves each applicant through pipeline stages from inquiry to placement test to enrollment. The admissions coordinator is notified of promising leads on WhatsApp, and anything the assistant cannot answer is handed to a person with the full conversation.
Each confirmed enrollment is invoiced in StarBiz, with VAT applied through configured tax rates and the program's cost center on every line. Parents and learners see their invoices in the customer portal, online payments arrive through the payment gateway connected to StarBiz, and bank statement imports suggest matches between payments and open invoices. Withdrawals are handled with credit notes, and aged balances show who still owes fees, so follow-up starts from a list rather than a hunch.
Trainers and administrative staff are paid through StarBiz payroll, with salary structures, allowances and deductions set per role. Attendance, overtime and leave are recorded in the same system, and each payroll run produces payslips and the accounting entry in one step, so staff costs land in the same ledger as fee income. End-of-service and statutory reporting inputs are drawn from the same employee records. Staff use self-service for leave requests and payslips, and HR receives reminders ahead of visa, contract and certificate expiries.
Course materials, classroom equipment and services are requested through purchase requests in StarBiz. Approvals follow rules by value, quotes from several suppliers are compared side by side, and every purchase carries its program's cost center. Program budgets show actual spend against plan as costs come in, and the owners' dashboard brings fee income, receivables, payroll cost and purchasing into one view.
Tell us how inquiries, fees and payroll work at your institute today, and we will show you StarBiz and StarBot configured around them.
